Task Settings update: configure Default status and Reorder Task statuses

This update introduces two enhancements that give users more flexibility in setting up and managing task statuses.

🔹 Update details:

  1. Configure default status when creating new tasks Users can now set a default status instead of it always being “Draft”. This feature helps tailor workflows to each team's needs, optimize processes, and reduce manual edits after task creation.

  2. Reorder task statuses using drag-and-drop Users can drag and drop to reorder status tags within the “Task Settings” modal. The new order will be saved and reflected as the column order on the main Tasks page.

These improvements help users personalize their task management workflows in a more visual and efficient way.

Notification Settings: Update 'Approval Notifications' section

The content in the 'Approval Notifications' section has been updated to be clearer and easier to understand, helping users better grasp its function and configure approval notifications according to their needs.

🔹 Update Detail: The notification "When a new approval stage is launched" has been updated to: 👉 "When a new approval stage is launched (Notifies when the new stage you join as approver or reviewer begins)"

This provides a clearer explanation that users will be notified when a new approval stage they are part of begins.

Filenames Settings: configuration of Suffixes and Date ormats in File Names

This enhancement focuses on providing administrators with greater customization capabilities for creating file naming conventions, especially concerning suffixes and date formats.

🔹 Update details:

  • Configure New Suffix Patterns: Admin can define custom suffix patterns and adjust the length of the index using hint syntax (e.g., for Duplicate Suffix).

    • Example: Setting {INDEX|3} will generate _001, _002, etc. (If left blank, the default will be {INDEX|1}).

    • Bracket Control: When renaming files, you can easily choose whether or not to include parentheses () around the suffix—directly from the rename pop-up window.

  • Custom Date Formatting:

    • Default Patterns: System date fields (such as Today Date and Production Date) come with preconfigured default formats.

    • Customize & Add New Formats: Admin can fully edit these default date formats or add new ones as needed using hint syntax (e.g., DD_MM_YY, ...).

Collection List Improvements

This update brings several enhancements to improve Collection management:

  • Enable right-click context menu when clicking on a Collection.

  • Add a "View Collection" option to the context menu.

  • Enable context menu on all Collection view types.

  • Include several other minor changes to improve user experience.

These improvements make it easier to interact with Collections and streamline navigation.

Allow reordering of categories and templates in Publish Templates

🔹 Update details:

  • Drag and drop to reorder categories within the Publish Templates section.

  • Customize the order of templates within each category to match brand-specific organization or usage needs.


Smarter and more reliable HIVO Metadata downloads

When the setting "User can download with HIVO metadata" is enabled.

🔹 Update details:

  • Supported files will include HIVO metadata by default:

    • All asset versions that support embedding custom metadata (such as most common image and video formats) will automatically be downloaded with the metadata managed in HIVO.

    • Note: Some original metadata fields not managed by HIVO may be replaced or removed to ensure consistency with HIVO data.

  • Smart handling of exceptions: Files that don’t support metadata embedding (e.g., .mp3 or older audio/video formats) will be downloaded without HIVO metadata, ensuring compatibility.

Display assigned members in the Task Checklist on the Task List

We have updated the Task List interface to better display the members assigned to items in the task checklist (when viewed in Task List mode).

🔹 Update details:

  • Added the option "Add user members of task" when assigning users in the Task checklist, making task assignment clearer and more accurate.

  • Now allows assigning regular users or user groups, not limited to roles like admin, client, etc.

  • Assigned members will now appear in the "Member" column of the Task List, making it easier to track who is responsible for each task.

This update enhances task management capabilities and increases transparency in task assignment within the team.
