Customizing Your Library Experience: A Guide to HIVO's Library Settings and Defaults

HIVO lets you to personalize your library view to your liking. This guide explores the Library View Settings options, allowing you to optimize your library management experience.

⚠️ User Right Required:

  • Users with "View Library" permission can Set up library views for their personal user accounts.

  • Admins can set default view settings for ALL USERS in the Default Library Settings section of the Client Profile.

Customizing Your Library Settings

👉 To access the Library View Settings menu, click the gear icon ⚙ in the top right corner of your library. Here, you can customize your browsing experience with various options:

  • Browsing Mode: Choose between page-by-page navigation or infinite scrolling.

  • Assets per Page: Select the number of assets displayed per page, from 16 to 256.

  • Display Mode: Choose between Grid, List, or Gallery views.

  • Display Size: Adjust the size of asset thumbnails while browsing in the Library.

  • Grouping: Optionally, group assets by creation date, production date, or batch.

  • Sort Results: Sort assets in ascending or descending order by date added, production date, or asset name.

  • Show/hide Tag Filter Side panel: Narrow search results using tags assigned to assets.

  • Default Search Operator: choose the level of precision (Required match or Optional match) you want for your search results.

Library Settings

Browsing Mode & Asset per page

  • Choose between page-by-page or infinite scrolling

    • Page-by-page: Assets are displayed page by page, and you need to click the "next page" button or page number to move between pages of results. This setting is useful when you want to have a clear view of the number of assets on each page and control the loading of data.

    • Infinite scrolling: As you scroll to the bottom of the page, the system will automatically load more assets without having to manually change pages. This setting is suitable when you want to browse a large number of assets continuously without interruption, providing an experience similar to social media platforms.

  • Select the number of assets displayed per page, from 16 to 256.


Display Mode & Display Size

  • Choose Display Mode between Grid, List, or Gallery views.

  • Adjust the size of asset thumbnails while browsing in the Library, include: Small, Medium, Large


Grouping

This feature helps you organize assets into groups based on a specific criterion. Select one of the grouping options:

  • No Grouping: Do not group assets by any criteria

  • By creation date: Group assets created on the same day.

  • By production date: Group assets with the same production date (if this information is stored).

  • By batch: Group assets uploaded in the same batch.

👉 When to use: When you need to sort and view assets by timeline or by upload origin.


Sort Results

You can sort the display order of assets/folder for easy searching or reviewing. You can set it up by selecting the criteria order below:

  • Asset Sort:

    • By date added: Sort by the date the asset was uploaded to the system.

    • By production date: Sort by the date the asset was created (e.g. date of photo shoot, date of video shoot).

    • By asset name: Sort by asset file name.

  • Folder Sort:

    • By name: Sort folders in alphabetical order (A-Z or Z-A).

    • By color: Prioritize displaying folders with assigned colors to folders without assigned colors or vice versa

    • By favorite: Prioritize displaying folders that have been marked as "favorites" at the top of the list or vice versa


Tag Filter Side Panel

The Tag Filter Side Panel is a powerful tool that helps you narrow down search results by using tags assigned to assets.

  • To Enable "Tag Filter Side Panel" visibility in Library Settings. Now, the "Tag Filter Side Panel" will appear on the left in the Library view.

  • In the filter panel, you will see pre-defined tag categories (eg. Digital Content, Brand Asset... ). In each category, you can select one or more tags to filter the results.

  • As soon as you select a tag, the search results/asset list will be updated immediately to show only assets that match the selected tags.


Default Search Operator

This feature allows you to control how the system interprets the keywords you enter into the search bar. You can choose the level of precision (Required match or Optional match) you want for your search results.

Required match

  • When you select this option, the system will only return assets that contain ALL the keywords you've entered. If an asset is missing even one keyword, it will not appear in the results.

  • When to use: When you need a highly precise and specific search. Results will be concise and less cluttered.

👉 For example: If you search for "Sale report", the system will only show documents that contain both "sales" and "report."

Optional match

  • When you select this option, the system loosens the matching requirements. It will return assets that contain ANY of the keywords you've entered, or even a part of those keywords. Results matching more keywords will typically be prioritized.

  • When to use: When you want a broader, more exploratory search, or when you're unsure of the exact phrasing and want the system to provide more suggestions.

👉 For example: If you search for "Sale report", the system might show documents that contain "sales," or "report," or both.

Note: HIVO allows you to establish a default interface for new users entering the library for the first time. This ensures consistency and ease of use for your entire team. You can read more about "Default Library Settings" here.

👉 Click View Mode 📁 in the top right corner of the Library to select different display options.
