# Microsoft Powerpoint Integration

The HIVO Connector for Microsoft PowerPoint is a professional solution that integrates the HIVO digital asset library directly into your presentation design interface. This integration allows users to access, search, insert, and manage digital assets via the HIVO Plugin without ever leaving the PowerPoint application.

### Installing the HIVO Plugin for Microsoft PowerPoint

For customers who have purchased the HIVO Connector, you can easily install the plugin from the Microsoft Store.

**🔹 Step 1: Installation Instructions**

* Open Microsoft PowerPoint, navigate to the **“Insert” tab**, and select **Get Add-ins.**
* In the Add-ins store search bar, enter the keyword **“HIVO”.**
* Click the **“Add” button** and follow the on-screen prompts to complete the installation.

**🔹 Step 2: Login to HIVO via the Plugin**

* In the HIVO Plugin panel, navigate to the **Login tab** -> Enter your HIVO credentials (username and password).

* If you have purchased **Single Sign-On (SSO)**, you can log in using the passwordless option. If you log in via email and password, ensure you enter the email linked to your HIVO account with the purchased Word connector.

### **Opening the HIVO Plugin in PowerPoint**&#x20;

* Go to the **Home tab** and click the **"HIVO Logo"** in the top right corner to open the plugin interface.
* Customize HIVO window size to optimize workspace according to needs.&#x20;

### Browsing and Searching Digital Assets

The **HIVO Plugin** offers a powerful search function to help you retrieve assets from your HIVO library directly within PowerPoint.

* Click on the Assets tab in the plugin window.
* You can browse all files that you have permission to access.
* Search for assets by:
  * Using the **search bar** combined with tags.
  * Browsing through the **folder structure of your HIVO library.**

### Uploading Assets from PowerPoint to HIVO

* Select the **asset (image) on your slide that you want** to upload to HIVO. In the HIVO Plugin window, enter a **name and select the desired file format.**

* **Add tags** to ensure the asset is easily searchable in the future.&#x20;

* You may add a detailed description and set a thumbnail or version options before clicking upload.

### Saving Asset (file PPT) / Save as new version&#x20;

* Go to the **Document tab,** enter a name, and select the destination folder in the HIVO library.

* Click the **"Start Upload"** button to complete the upload of the PowerPoint file to HIVO. The HIVO Connector will automatically create a link between the current presentation and the file on the system.&#x20;
* You can **click the document name within the plugin to jump directly** to the HIVO interface.

### Managing Comments and Status

After saving the document to the HIVO library, other members can view the document you just uploaded to HIVO (if they have permission to view it) and comment it.

* **Display Comment**: All comments made on the HIVO platform will be displayed within the HIVO Plugin in PowerPoint.

* **Processing Feedback:** From the plugin window, you can **reply to comments, change the status** (e.g., Resolved), and **filter comments by status** to quickly finalize your presentation.

⚠️ Note: Comment visualization is **supported when saving assets** (using the Save Document feature), but **not when exporting assets** because uploading the file to the library as a standalone archive or updating the file version is not supported.

### Exporting Presentations to the HIVO Library

This feature ensures your final presentations are centrally stored and managed.&#x20;

Note: Export the file as a standalone asset or updates an existing one in the library. This method does not support real-time comment visualization.&#x20;

**🔹 Step 1: Open the Export tab & Choose the saving method**

On the HIVO add-in toolbar in PowerPoint, navigate to the **Export** tab. You will have two options depending on your needs:

* **Export as New Asset**: Use this option if you want to save the current document as a completely new asset in the HIVO library.
* **Export as Existing Asset**: Use this option if you want to update (overwrite) an existing asset with the current version.

🔹 **Step 2: Configure Asset Information**

Before exporting, you need to review and complete the necessary information:

* **Name**: Edit and confirm the file name
* **Format**: HIVO provides two format options: **PowerPoint (PPT)** and **PDF**
* **Approval Template (optional)**: If the document requires internal approval before being used, you can select an approval template. Once uploaded, the system will automatically trigger the approval workflow configured by the Admin.&#x20;
* **Select Folder**: Choose the correct destination folder in the HIVO library to ensure the asset is stored in the right location.

**🔹 Step 3: Add tags**

You can add tags related to the document content. Adding tags helps you:

* Find assets more quickly
* Organize and manage documents more effectively

**🔹 Step 4: Add additional information (optional)**

Before uploading, you can:

* Add a **detailed description** for the asset
* Add a **thumbnail** (preview image)
* Set up **versioning** if needed

**🔹 Step 5: Export the document**&#x20;

After completing all settings, click **"Start Upload"** to begin the upload process. Once the export is completed:

* The system will automatically redirect you to the **Library** interface
* The uploaded asset will appear in the list

You can click on the asset name to open it in HIVO and perform additional actions or use other features with this asset.
