Sharepoint Integration

The HIVO library can be accessed within Sharepoint using the HIVO Sharepoint Connector.

The HIVO Connector is integrated directly into your SharePoint Document Library as a command extension. This extension enables you to load assets directly from your HIVO account into your SharePoint document libraries.

Installation and Setup

To add the HIVO Connector to your SharePoint account, please follow these steps:

  • Step 1: Log in to your SharePoint account and navigate to Settings (gear icon) > Select Add an app.

  • Step 2: In the search bar, type the keyword "HIVO". Once the app appears, click on the app icon and select Request or Add to begin the installation process into your system.

Note: Depending on your organization's configuration, you may need an Administrator (Admin) to approve this request before the app officially appears in your site.

How to use HIVO Connector

Once successfully installed, HIVO will appear as an additional command within your document library.

  • Step 1: Access the Document Library where you want to store your files.

  • Step 2: Navigate to the specific folder where you wish to upload the file.

  • Step 3: On the top toolbar (command bar), click the HIVO button and follow the instructions to log in to your HIVO account and

  • Step 4: A HIVO control panel will appear:

    • Search for the Asset you need.

    • You can select any Asset version of that file.

    • Confirm your selection; the Asset will be added to the current Sharepoint folder.

Permissions Required by HIVO for Microsoft SharePoint Integration

When deploying the HIVO integration for SharePoint, the system will request the following permission groups. These permissions are the minimum technical requirements for the HIVO SharePoint Connector to operate securely and efficiently, while remaining fully compliant with HIVO’s Privacy Policy.arrow-up-right

1. “Can read and make changes to your document libraries"

  • Why does HIVO need this permission?

    • To enable load Assets directly from HIVO into your Document libraries.

    • To update links or metadata from HIVO directly to the files stored in your SharePoint environment.

  • What HIVO does (and does NOT do)

    • HIVO only interacts with the specific folders or files you select

    • HIVO does not scan, read, or index your entire SharePoint site or unrelated document libraries.

    • HIVO does not store your SharePoint documents on its servers unless you intentionally initiate an upload from SharePoint back to HIVO.

2. “Access profile information”

(Such as my name, email address, company name and preferred language)

  • Why does HIVO need this permission?

    • To authenticate and connect your active SharePoint session with your specific HIVO account.

    • To ensure you receive the correct access permissions based on your company settings.

    • To display the interface in your preferred language.

  • How HIVO uses this information

    • Only to verify who you are and which organization you belong to.

    • Does not share your profile information with third parties except for approved enterprise systems.

3. “Can send data over the Internet”

  • Why does HIVO need this permission?

    • To access your HIVO library and retrieve assets you choose to insert.

    • To sync changes or download assets as you work.

    • To maintain a secure connection between your document and your HIVO account.

  • Security

    • All data transmitted over the Internet is encrypted via SSL/TLS.

    • HIVO uses AWS (ISO27001, SOC 2), and the infrastructure provider has no access to personal content.

    • The HIVO Connector does not transmit documents unless the user explicitly performs an upload.

    • HIVO does not use customer data to train AI models unless the customer grants explicit permission.
