# Tag Settings

### **What are Tag Settings?**

**Tag Settings** is a configuration section that allows you to control how users assign **tags** to digital assets during the upload process through two core components:

* [**Tag Configuration & Control**](https://support.hivo.co/client-profile/client-profile-settings/asset-and-metadata-management/tag-settings#how-to-cofigure-tag): allows you to manage the tagging experience during the upload process and within the asset library.
* [**Tag Management:**](https://support.hivo.co/client-profile/client-profile-settings/asset-and-metadata-management/tag-settings#tag-management) A centralized dashboard to oversee and refine the entire vocabulary of your system.

<details>

<summary>Purpose of Tag Settings</summary>

* ***Standardize tagging practices** across the organization to ensure consistency.*
* ***Enhance search accuracy** by enabling structured tagging.*
* ***Automate content classification** by campaign, department, content type, etc.*
* ***Prevent untagged or poorly tagged assets**, which can hinder long-term asset management*.

</details>

### How to configure Tag?

* **User Right Required:** User must have the permission: **“Is Client Admin - User can manage the Client Profile”.**
* Navigate to Tag Settings: **Client Profile** → **Settings** **tab** → **Tag** **Settings**

#### 🔹 Step 1: **Number of Tags**

* Set the **minimum number of tags** users must assign when uploading an asset.
* **Options:**
  * Set to **0** to allow uploads without any required tags.
  * Set to **1** or more to require at least that many tags per upload.

#### 🔹 Step 2:  Manual Tagging Options

* The Manual Tagging option controls whether the User is allowed to create new Tags when manually tagging an Asset or can only select from existing Tags when uploading a new asset.
  * **Allow New Manual Tags when Tagging (toggle OFF - Default):** Users cannot create new tags (Your tags) when tagging assets. They can only select from the list of existing tags in the system.
  * **Limit to Existing Tags when Tagging (toggle ON):** Users are allowed to create new tags by typing into the tag field in the uploader or asset detail view.

#### 🔹 Step 3: Set Mandatory Rules and Add Conditional Tag Setting

**1. Set Display and Mandatory Rules**

Use the three checkboxes at the end of the section to **control how this field behaves:**

* **Is Required**: If checked, users must choose at least one tag from this category before uploading.
* **Include in Library Tag Filter Panel**: If checked, the category appears in the asset library’s filter panel, helping users filter content by tag groups.

* **Use Text Input with Autocomplete**: determines how users enter tags for this category during the upload process.
  * **When it is NOT enabled (default):** Users select tags by clicking from the list of predefined tags in the category.
  * &#x20;**When the “Use Text Input with Autocomplete” option is ENABLED:** Users can type tags directly into the input field, and the system will **suggest existing tags (autocomplete)** as they begin typing.

**2. Display category in the Uploader when related categories are selected**&#x20;

In the section **“Show category in Uploader when 1+ tags are selected in any of the following categories:”**

* Select one or more related categories (e.g: *Media assets*).
* When uploading, if the user selects a tag from *Media assets*, the current category will automatically appear (expand) for further tag selection.
* Leave it empty → the category will **always** be displayed.

**3. Require dependent tags from another category**&#x20;

In the section **“Optionally require certain tags to be selected from the dependent category list”**

* Select a dependent category (e.g: *social media posts*).
* If specific tags from this dependent list are chosen, the system may require the user to also select at least one tag from the current category.
* Leave it empty → the system will by default require **at least one tag** from any dependent category (if the rule is enabled).

The categories will appear as headings in "**The Asset Tagging step**" of the Uploader for all Users in the Account.&#x20;

#### 🔹 Step 4: **Organize Tag Categories**

Group tags into **organized categories** to guide users in applying accurate and relevant tags.

**1. Add or remove Tags**

* Enter the tag name in the field **“Type Tag and hit Enter”**&#x20;
* To remove a tag, click the **“x”** icon next to it.

**2. Arrange Tag**

* Use the **up (↑)** and **down (↓)** arrows to move tags up or down according to your preferred order.
* The **×** icon deletes a tag; the **↔** icon may move tags between groups (depending on the UI).

### **Tag Management**

The **Tag Management** feature allows you to manage all tags applied to assets in the system. You can **search, view usage statistics, rename tags, or delete them.**

<figure><img src="/files/ieAaShDr5MW5llggr9hn" alt=""><figcaption></figcaption></figure>

#### **1. View tag usage statistics**

* **Search tags:** Enter a keyword in the '**Search tag'** box to quickly filter and locate tags in the list.
* **Usage Statistics and Sorting:**
  * The Assets column shows the number of assets that contain each tag.
  * The list is sorted by descending usage frequency of the tags. This sorting helps you quickly understand which tags are most important or frequently used, making it easier to manage, review, or clean up your tagging structure.
* &#x20;**View assets associated with a tag**
  * Click on the **tag name** (e.g., *person*, *head*, *face*).
  * A new tab will open, directing you to the Asset Library and automatically displaying **all assets that contain that tag**.

<figure><img src="/files/KfaL43fCCdk66kg9zYqr" alt=""><figcaption></figcaption></figure>

#### **2. Rename tag**

* Click the **edit icon** in the Actions column.
* Enter the new tag name.
* Save changes to update the tag name across all assets using that tag.

<figure><img src="/files/nkBLQipGRARPdQUsF2hi" alt=""><figcaption></figcaption></figure>

#### **3. Delete tag**

* **Delete tag:** Click the **trash icon,** when confirmed, the system will:
  * Remove the tag from all assets that use it.
  * **This action cannot be undone.**
