Request for Consent

A Request for Consent is a digital form sent to a recipient with authority to give consent on behalf of the person within the selected assets.

Consent provides many benefits in using digital assets

• Usage controls: this allows owners to determine who can access and use their digital assets, and how. This helps them protect their privacy and control their digital identities.

• Regulatory compliance: Many laws and regulations, such as the EU General Data Protection Regulation (GDPR), require consent for the collection and use of personal data. Consent helps digital asset owners ensure that they comply with these regulations.

Who can do this?

Only users with the "Can Request Consent" permission can send these requests, and only Admin can set this Edit User Right.

How to Send a Request for Consent?

There are two ways to initiate a Request for Consent:

• You can from a Recognition Profile: Go to the user's recognition profile => Click on "Consent" and then "Request Consent".

• Or, within the Asset Detail page, click on the person's face => More => Request Consent.

How to start the Request Consent process

Select Assets

• Choose the specific assets (images/videos) where you want to use the person's likeness. You can choose one or more or all assets related to that person to send a consent request.

• At the same time, you need to intend usage terms for each asset.

• Decide if you want to allow the recipient to choose which usage terms they agree to.

Consent Details

The Consent Details outline the additional information to be held with this Consent such as its expiration date. And decide whether the user can change the expiration date or not.

Send Email

• Enter the recipient's name and email address.

• Provide a subject line and an optional message body for the email.

• Preview the email before sending it by clicking the "Preview Email” button.

• Once you're happy with it, click "Send Request" to send the Request for Consent form. This will update the consent status of all selected assets to "Pending."

After you send the email, the user will receive an email and a consent link

Additional Actions

Re-send Request

Users can resend the Request for Consent form within the consent's actions. You can click "More Options" and "Re-send Requests". This will invalidate the previous Consent Approval form link and generate a new one.

Revoke Request

Revoke the Request for Consent before or after approval within the consent's actions. You can click "More Options" and "Revoke Consent". This will update the Consent Status to Revoked and invalidate the Consent Approval form link.

Approval Process

The recipient of the Request for Consent email will receive a link to an Approval form. Here's what they can do:

• View and select assets with their versions for approval.

• View the client's Terms and Conditions, and Confirmations which can be edited in the client's Consent Settings.

• To approve or reject Consent, the recipient will need to provide a signature and accept the use of an electronic signature.

The consent status of the assets will be updated once the recipient submits the form:

• Approved - They agreed on all the specified usage terms.

• Partially Approved - They selected all assets and only agreed on some of the usage terms.

• Rejected - They have rejected Consent or have not selected the asset for approval.

After the recipient submits the approval form, the shared link will no longer be accessible.

Access this shared form through the Consent's actions or through the upload face's more options.

Click "More Options" and select "See Consent's Form".

Once the approval form has been submitted, a pdf version of the signed form can be downloaded.
