Creating and Managing Grouped Collections
Combine multiple separate collections into a single, centralized group for easy management
Creating and configuring the initial structure of a Grouped Collection is quick and intuitive. The system allows you to build your category framework, assign sub-collections, and set up identifiers directly during the creation process.

How to create Grouped Collections
⚠️ User Right Required: User must have the permission: “Can View All Grouped Collections" and "Insert Grouped Collections".

Follow these step-by-step instructions to create a new Grouped Collection and configure its initial structure:
🔹 Step 1: Open the Creation Dialog
On the left panel of the screen, click the New Collection button.
In the pop-up window, switch from the default view to the Grouped Collection tab.

🔹 Step 2: Configure Grouped Collection Details
Once inside the Grouped Collection tab:
Enter a label: Type a distinct name for your Grouped Collection (e.g., "Demo").
Edit Metadata: Click the + Add Entry button if you need to attach metadata custom fields to this group.

🔹 Step 3: Edit Collection & Categories
You can structure and classify individual sub-collections within this new group immediately during creation:
Name Categories: Under the Category 1 block, enter a custom category name (e.g., "Campaign Q3").
Add Notes: Click the Add Note button to append brief instructions or descriptions to a specific category.
Assign Sub-Collections: Click the Select Collections... field to choose individual collections from the dropdown menu to place into this category. To remove an assigned collection, click the X icon on its tag.
Manage Categories: Use the toolbar icons to the right of the category input field to reorder (up/down arrows), Add new category (+), or delete (X) a category block entirely.
Create Multiple Categories: Click the + Add Category button at the bottom left to generate additional category blocks for further classification.

🔹 Step 4: Finalize Creation
Click Submit to create and save your new Grouped Collection layout.
Click Cancel at any time to discard the configuration and exit.

Managing Grouped Collections
⚠️ User Right Required: User must have the permission: “Can View All Grouped Collections" and "Can Edit All Grouped Collections". In case users do not have the permission to "Edit all grouped collections", they can only view and configure the display for Sub-Collections the ones created by themselves.

1. Accessing & Navigating the Grouped Collections
Navigate to the Collections section, you will see two navigation tabs located directly beneath the search bar. Select the Grouped Collections tab.
To View the Grouped Collection, you can either click directly on the Grouped Collection's thumbnail, or click the three vertical dots (⋮) icon at the bottom right corner of the thumbnail and select View Grouped Collection.

The management interface allows you to easily search, refresh, filter, and organize your grouped collections:
Search: Quickly search collections using Keywords, Tags, Metadata, or Natural Language Search.
Refresh Collection list: Click the Circular Arrow icon on the right toolbar to update the list. This syncs and instantly displays the latest changes or newly added data without needing to reload the entire webpage.
Filters: Narrow down your search results by Date Created, Date Modified, Tags, and Metadata.

2. Display settings for Sub-Collections
To change the visual display experience for the sub-collections within a group:
Display Mode: Select the layout format (e.g., Grid).
Display Size: Customize the thumbnail display size (e.g., Medium).
Categories: Toggle the Hide switch to show or hide the category separator bars within the viewing interface.
Click Save to apply the changes.

3. Rearranging Collections within Grouped Collections (Drag & Drop)
Users can easily rearrange the display order of collections within a Grouped Collection based on their needs by following these steps:
Click the Drag & Drop icon (arrow with a circle) on the right toolbar to enable sorting mode.
Click and hold, then drag and move the collections to your desired position.
Once finished, use the adjacent control buttons to either save or discard your changes:
Click the Checkmark (✔️) icon to Confirm and save the new display order.
Click the X icon to Cancel and revert to the original arrangement.

4. Customizing the Grouped Collection Header
The Grouped Collection Detail Page Header feature allows you to customize the top banner area of your Grouped Collection, including the background image, description text, and text color.
📌 Note: Customizing the Header only affects the visual appearance of the top banner and does not alter the structure or content of the Grouped Collection itself.
🔹 Step 1: Open the Configuration Dialog
Access the specific Grouped Collection you wish to customize.
At the top right of the page (on the banner header), click the Three vertical dots (⋮) icon.

Select Edit Info from the dropdown menu to launch the detailed configuration dialog box to start editing.

🔹 Step 2: Configure Header Settings
In the Grouped Collection Detail Page Header section, you can configure the following fields:
Background Image: Set the background image displayed on the Header banner.
Switch On the Select Asset toggle to choose an existing asset from the system as your background image.
Switch Off the toggle to manually input an image URL.

Header Text Colour: Set the color of the text displayed on the Header banner.
Click the Edit (pen) icon next to the Header Text Colour field.
Select a color from the color picker or input a hex color code (e.g., #FFFFFF).
Choose a text color with sufficient contrast against your background image to ensure the content remains easily readable.

🔹 Step 3: Save your changes
Click Save to apply and deploy your new layout configurations.
Click Cancel or Close at any time if you do not want to save the modified configurations.
Managing Sub-Collections & Categories within an Existing Grouped Collection
To manage sub-collections and categories within an existing Grouped Collection, follow these steps:
🔹 Step 1: Open the Configuration Dialog
Open the specific Grouped Collection you wish to modify.
At the top right of the page (on the banner header), click the Three vertical dots (⋮) icon.

Select Edit Info from the dropdown menu to launch the detailed configuration dialog box to start editing.

🔹 Step 2: Modify Content & Layout (Collections Section)
Inside the dialog box, scroll to the Collections section and perform any of the following actions based on your needs:
To Add a Sub-Collection: Click into the empty space of the Select Collections field under your desired category block. Choose the collection you wish to embed from the dropdown menu.

To Remove a Sub-Collection: Locate the specific collection's tag within a category and click the "X" button directly on that tag. This instantly dismisses the sub-collection from that category.
To Delete an Entire Category: Click the "X" icon located on the right side of the category name input field. This permanently removes the entire category block along with all the sub-collections contained within it.

Adding a New Category: Click the + Add Category button to automatically generate a new category block where you can enter the name and customize its content.
Reordering Categories: To adjust the display order of the categories:
Move up Category: Click the Up Arrow (↑) icon to move the category up one level.
Move down Category: Click the Down Arrow (↓) icon to move the category down one level.

Reordering Collections within a Category: To change the display order of the collections, click the Two-way Arrow icon next to the category name field. Then, simply drag and drop the collection name tag to your desired position.

🔹 Step 3: Save Your Changes
Click Save at the bottom of the dialog box to apply and deploy your new configurations.
Click Cancel at any time to discard all modifications and exit.
Display settings for Grouped Collections
⚠️ User Right Required: User must have the permission: “Can View All Grouped Collections".
To change the visual display experience for the Grouped Collections on the main dashboard, follow these steps:
On the Grouped Collections dashboard, click the Gear (Settings) icon located on the top right toolbar.
Configure the display options within the Grouped Collection Settings dialog box:
Display Mode: Select the layout format for the Grouped Collection cards (e.g., Grid).
Display Size: Customize the thumbnail display size of the Grouped Collection cards (e.g., Medium).
Sort Results: Choose the criteria to automatically sort the list of Grouped Collections (e.g., by Creation Date).
Click Save to apply the changes or Cancel to discard them.
